Administration Intro

 

For each company registered with SupplyOn, there is at least one person with administration rights who is responsible for creating new users and managing user roles.

SupplyOn User Administration provides functions and processes for managing SupplyOn users at your company.

If you are a user administrator (also called company administrator) and would like to know more about user administration to create a user account, assign user roles, assign the required areas of responsibilities (roles), unlock or deactivate an account, you are at the right place.

The User Administration page shows you an overview of all user functions and a list of users. You can select and search for users in this list to change user details.

The User Administration page will allow you to manage all the users of your company and their respective rights in a fast, flexible, and self-explanatory way.

Moreover, we recommend you use the wizards who will guide through the different processes as an easy way of getting started.

User Administration_Process Intro

User Administration includes the following:

  • Create a user account
  • Assign areas of responsibility
  • Change user master data
  • Change user ID
  • Reset a password for a user
  • Lock and delete a user account
  • Unlock a user account
  • Set up a substitute
  • Specify a successor
  • Determine customer responsible persons

How to create a user

  1. Select the “Administration / User management” menu item.
  2. Click on the “Create user” on the right-hand sidebar.
  3. Enter the contact data for the new user account, as well as the account data.
  4. You can choose if needed the two-factor authentication option. Two-factor authentication protects the SupplyOn account from unauthorized use. In addition to the username and password, a one-time password is also used for login.
  5. Now you can assign the areas of responsibility by selecting the checkbox to assign the appropriate roles to users. You will find a description next to the role. Click on the “More information” link if you want to display the roles for a service category.
  6. Click on the “Save and close” button. You have created a user account. SupplyOn will now send an e-mail notification to the user's e-mail address. The temporary password you have assigned is not sent to the user. You must therefore inform the user of this password separately. The next time the user logs on, he or she is prompted to replace the temporary password with one of his/her own.

Note: Remember that you can use the SupplyOn wizard for creating a new user.

How to change user authorizations

  1. Select the “Administration / User management” menu item.
     
  2. If you cannot see the desired user in the list, click on the menu option “Search” and enter the first name, last name, username, or e-mail address.
     
  3. Select the checkbox for the desired user and click the “Edit” button.
     
  4. Now assign the user the necessary roles and authorizations in the “Areas of responsibility”. Click on the “More information” link if you want to display the roles. Select the checkbox to assign the appropriate roles to users. Click on the “Save and close” button.
     
  5. You have now changed the roles of users.

How to activate or deactivate a user account

  1. Select the “Administration / User administration” menu item.
     
  2. If you cannot see the desired user in the list, click on the menu option “Search” and enter the first name, last name, username, or e-mail address of the user.
     
  3. Click on the button on the upper right-hand side of the profile card. That’ how you deactivate or activate a user account.
     
  4. If you have locked the user account, all roles are now withdrawn from this user. SupplyOn doesn’t send an e-mail notification to the e-mail address of the user.
     
  5. If you have unlocked the user account, SupplyOn sends e-mail notification to the user's e-mail address to notify him/her that his/her account has been activated again.
     

Note: Remember that you can use the SupplyOn wizard for activating and deactivating users.

How to reset a password for a user

  1. Select the “Administration / User management” menu item.
     
  2. If you cannot see the desired user in the list, click on the menu option “Search” and enter the first name, last name, username, or e-mail address of the user. Press Enter and select the desired user. Then click the “Edit” button below.
     
  3. Enter a temporary password for the user twice in the window. Click on the “Save and close” button.
     
  4. The temporary password you have assigned is not automatically sent to the user. You must therefore inform the user of this password separately. The next time the user logs on, he/she is prompted to replace the temporary password with one of his/her own.
     
  5. Well done! You have now reset a password.

Note: Remember that you can use the SupplyOn wizard for changing password for a user.
